Who we are
Splamei is the one who made SplameiBot and hosts it on their own server. We’re not related to anything else not owned by Splamei.
SplameiBot is maintained and owned by Splamei. We are the data controller. The bot is hosted and run on it’s own server operated by Splamei. SplameiBot as has no relation to other brands, names and organisations not controlled by Splamei.
The data we collect and how long
This is everything we store when you use SplameiBot. We can’t really sum it up here so you’ll need to read it all
The following is the information we collect that can be identified as coming from you. This information is linked your User ID
- User ID (UID)
- Stored permanently with the rest of your user data until a data deletion request is made or manually removed
- Username
- Stored in the log file with command usage or user actions which is cleared every week
- Command usage
- Time of use
- Command name triggered
- All parameters provided
- This information is for security and debugging purposes only and is cleared every week when the log file is rotated
- User ‘points’ and ‘Bean times’
- Stored permanently until a data deletion request is made or manually removed
- Hangman game data
- Correctly guessed words
- Incorrectly guessed words
- Incorrect guesses
- This information is temporary and is reset between midnight and 1am UTC each day
- Accepted guilds (servers)
- The Discord guilds (servers) you have accepted the SplameiBot Terms of Service for
- This data is permanently stored until a Privacy Policy or Terms of Service update occurs or you or another member with the ‘Administrator’ or ‘Manage Server’ permission in said guild rejects the terms
- Moderation data
- Overall rate limits occurred per month
- This information is temporary and expires when the month changes
- Commands and tasks run within a recent period and the times of the last used commands
- This information is temporary and expires after a few minutes after a command was ran
- Karma score
- This information is kept permanently until a full data removal request is made
- Warnings
- This information is kept permanently until a full data removal request is made
- If your UID has been blocked or you opt-out of the bot, your user ID will be stored permanently to prevent further misuse of the bot or to keep you opted-out of SplameiBot
- Overall rate limits occurred per month
- User IDs, usernames and server membership status
- This information is stored in volatile memory (RAM Cache) and is cleared whenever SplameiBot restarts or you leave all servers with SplameiBot as a member
- We use this cache for moderation, statistic managing and improving bot performance meaning opting-out won’t prevent being included in the cache to prevent exploits and issues with legitimate moderation systems
The only personal data we store is your Discord user ID and username. We do not collect email addresses, IP address or any other personal data unless explicitly stated otherwise.
Unless otherwise stated, this information is stored permanently so that you do not loose access to the data from your dedication of using SplameiBot unless you wish to perform a data removal request. The data can only be accessed by Splamei and commands where the data is displayed such as /hangman, /top, /points, /gift and /wheel.
Why we collect the data
We collect the data for the features of the bot and usage logs to moderate the bot (anti-abuse, rate-limiting) and improve performance. Personal data is used for moderation, security and features
We collect the information listed above to provide bot features, log uses of SplameiBot for moderation purposes, anti-abuse and rate-limiting systems and to help improve bot performance by logging issues and exceptions.
Personal data will be used to help provide bot features, moderate use and ensure the bot’s security. (i.e. Your user ID is used to provide the correct details and maintain a correct blocklist)
How we use this data
We use the data for the functions and security of the bot like who trigged a command, mod history and abuse prevention. We only use this in SplameiBot’s code and it isn’t sold to others
This information is used to provide the functions and security of the bot, deliver appropriate command responses, identifying the user who triggers a command at a set time, provide moderation history and to help debug and prevent abuse towards the bot. This information is used automatically by the code of the bot and is not use for any advertising purposes and is not sold or shared with third-parties.
Automated Moderation
Content scanning
SplameiBot, if enabled within the server where the message was sent, will automatically scan select messages and images sent within servers where the feature (named ‘Server Flags’) is enabled to flag and help prevent spam, raid, malicious and other violating content.
This scanning is performed automatically by SplameiBot, upon a random chance basis, and it only limited to the data strictly necessary to identify problematic content as listed above. The scanned content is not stored nor sent for human review during this process.
Content fingerprinting
To help improve the detection of violating content, some content that is known to be malicious or rule-breaking will be converted into non-reversable hashes or fingerprints and retained in SplameiBot’s database.
These fingerprints are used only for preventing known problematic content and not used for profiling, advertising or analytics. SplameiBot will not store the hash or fingerprint of message strings in their entirety and instead split the message into ‘shingles’ before hashing.
Content forwarding
When setting up the ‘Server Flags’ feature, server moderators must configure a channel for SplameiBot to set alert messages towards. These alerts will contain:
- The channel of which the flag occurred in
- A ‘jump’ link to the message that triggered the flag
- The user mention (derived from the user’s unique user ID)
- All the mentions for the roles the user has
- Extra, non-user specific, flag information
SplameiBot does not forward the message string or image content that triggered the flag nor store any extra information about the flag except what is strictly needed as mentioned above. SplameiBot will store the fingerprint of the pre-hashed content and the fingerprints of the message content that triggered the flag within it’s logs so we can identify and action on problematic hashes and false positives. For information about how long we store the logs content, please read the ‘The data we collect and for how long’ section.
Server members and moderators, may also report problematic content directly to us via a public report form on this website. We’ll only collect the information provided by the user in accordance to our website’s Privacy Policy. Once the provided data is processed, it will be fully deleted, excluding the resulting hash if the user is reporting a false negative server flag.
Enforcement actions
If SplameiBot deams a message as violating and matching known problematic content, SplameiBot may take action upon your account depending on the action set my server moderators. This may be a time-out which temporally prevents you from interacting within the server until removed or the expire time was reached, or a ‘softban’ which bans, then unbans your account within the server, allowing you to rejoin a few seconds after the flag occurs. This action is to protect users from spam, raids and harmful activities. This action can be overridden and adjusted by server moderators. If you feel that the flag was incorrect, you can report to server moderators, depending on how their report system is setup, and report a false positive to us via SplameiBot’s report form.
Data retention and interest
The processing of message and image content for abuse prevention is for the legitimate interest of maintaining user and platform security, preventing harmful activity and protecting communities. The feature associated with content scanning is opt-in only and must be explicitly setup and enabled by server moderators.
- Content scanned is not permanently stored unless forwarded independently from SplameiBot by server moderators or members
- Fingerprints confirmed to be malicious content will be retained for abuse prevention and the ‘Server flags’ feature
- Fingerprints added are only retained for as long as necessary for enforcement and investigation and will be removed when it’s no longer deemed as being needed
- Fingerprints of both the known malicious content and user sent content will be logged within SplameiBot’s logs to help detect problematic fingerprints within the bot’s database
- User IDs and any other form of Personal Identifiable Information (PII) are not stored within this log except the fingerprints of both content
- SplameiBot automatically clears and rotates it’s logs every week as mentioned within the ‘The data we collect and for how long’ section
Who has access to this data
Only you and Splamei can access you’re data. Some functions will show some data like leader boards and gifting
Only you and Splamei can access the data associated with your user ID except some commands that will show select data to the public (i.e. Leader boards, Point gifting). This information is not shared with any third parties.
How your data is secured
We store all this data on our UK server. It’s not accessible by third-parties or others (except normal usage mentioned above). We make sure you’re data is secure and it isn’t transferred outside the UK except for functions and data requests.
Your data remains on our server in the UK and is not accessible by third-parties or others apart from Splamei apart from normal bot usage. We will make sure to secure your data to prevent unauthorised access and prevent abuse. Data will not be transferred outside of the UK unless you use SplameiBot’s functions or perform a data request.
User and server report
Users may report servers and users using SplameiBot who violate the bot’s acceptable usage. When reporting a user, the following information is provided by the user:
- User ID (optional)
- Username (required)
- The violation (required)
- Proof files – i.e. chat logs (required)
When reporting a server (guild), the following information is provided by the user:
- Server name (optional)
- Invite Link (required)
- Server ID (optional)
- The violation (required)
- Proof files – i.e. chat logs (required)
All the information stored and submitted will be stored subject to our website Privacy Policy. We will not display your username or identifying information to the user or server you are reporting. Reporters may optionally add an email to receive updates on their report and if the report was accepted or denied (with an option to appeal). The action taken, if the report was accepted will not be displayed to the reporter.
Child Safety
We don’t collect the data of children under 13 years or the minimum age requirement for Discord. We delete this data if found with some info being forwarded to Discord to show they’re under-aged
SplameiBot does not knowingly collect personal data from children under the age of 13 or the minimum age defined in applicable jurisdictions and Discord’s own policies. If be become aware we have collected this data, we will delete it and forward the appropriate information showing the user is under-aged to Discord ‘Trust and Safety’.
How to manage your data
You can use the
/termscommand to remove your data, request your data and opt-out of the bot. To update you’re user ID, please email us the new ID and proof you own both accounts
Right to remove/erase: To remove your data from SplameiBot, run the /terms <remove> command within any Discord server with SplameiBot or via DMs. This will only perform a ‘partial’ data removal request as some moderation data (warnings, rate limits and block list) will still be retained. To request full data removal, please contact us. Please note this will result in you loosing access to the bot permanently.
Right to access / portability: To request your data from SplameiBot, run the /terms <request> command and you will see a list of the data collected by SplameiBot. The resulting file is a pseudo-json structure which can be transferred to other supporting platforms
Right to rectify: To correct data details from SplameiBot, please contact via email citing your User ID, the data to amend, it’s current value, updated value and proof you own the account or join the official Splamei, SplameiPlay Discord to request these changes.
Right to withdraw / object: To opt-out of SplameiBot (to prevent SplameiBot from collecting and storing data about you other than security and abuse prevention), run the /terms <opt-out> command and you will be opted-out of SplameiBot after confirmation. You can opt back into SplameiBot by running the same command again, after confirmation. When opting-out, a ‘partial’ data removal request is automatically made; Some information will be retained for moderation and security purposes. More information can be found within ‘Right to remove/erase’. This will not prevent message scanning for the ‘Server Flags’ feature to prevent exploitation towards the feature.
Changes to the Privacy Policy
When we update the terms, we’ll send a message on our server in the SplameiBot news channel letting you all know. You need to re-accept the terms to use the bot again
We reserve the right to amend or update these Terms of Service and our Privacy Policy at any given time. When changes are made, a notification will be sent to the designated SplameiBot update channel in the official Splamei, SplameiPlay Discord server. A member of the server with the ‘Administrator’ or ‘Manage Server’ permissions must review and accept these terms on behalf of the server. Until these changes are accepted, access to SplameiBot and services on that server will be suspended.
